If you’re a new business, you might be wondering what this is! Dubsado is a CRM software (Customer Relationship Management), and I run my entire business through it. The main reason I love Dubsado is I can provide all documents to my clients using only one tool, making life so much easier.
Dubsado allows me to manage my design projects, send proposals, contracts, and invoices, create workflows, schedule call appointments, time track… all in one place! It blew my mind at all the features included in their plan. I was tired of switching tabs to different accounts to deal with one client, and it affected my clients from having a seamless experience with me. My clients have never been so pleased with how smooth the entire process is from start to finish since I started using Dubsado.
The workflow feature is excellent for businesses that have similar processes for every client, which can save you tons of time! It’s pretty much the robot version of yourself, doing all the work for you. Sending emails, proposals, contracts & invoices while you’re sleeping or working on your business! All documents are sent through your email as if you had sent it yourself, it’s pretty amazing. You choose the time & actions to follow, and you can see those dream clients roll in.
You can set it up for leads to receive any document or form right after sending an inquiry from your website. An automated email with your package details, pricing, and all the details they need to know will be sent, without them having to wait for an email.
With my business, when someone selects their desired package and reads over my design process, it automatically sends them to the contract & first invoice without me lifting a finger. It’s like magic!
In the past, when inquiries would roll in, I spent so much time sending separate documents needed for my project. I sent PDFs of proposals and contracts through email, sending invoices on different software, and scheduling calls through Calendly. Invoices and forms would get lost in the trail of emails, and it would be hard for my client and me to retrieve them when needed. It took so many various tools and businesses to provide my clients with an easy experience until I found Dubsado.
Proposals are one of my favorite features they offer! It allows you to get very creative to showcase the services you offer and pricing. If the potential clients see that the price isn’t what they had budgeted for, this saves me time from having a discovery call be a waste of time.
Proposals come with tabs that allow clients to go from package options to contract to invoice. It’s similar to checking out items in a cart without you doing anything… As a service-based business, that’s not usually the case for most of us!
No need to pay additional fees anymore to accept digital signatures for your contracts either! If you’re a small new business owner, they offer a variety of contract templates to start with, in case you’re not sure what to include for your type of business.
Invoices are integrated with Stripe, Square, or Paypal, either in recurring or one time payments. You can set up payment schedules (e.g., 50/50) and send reminder emails when payments are due.
Client portals are the best way to make your clients feel truly special. Portals are unique to each client, with an area to access all of our email communication, documents, and forms! Each project you receive has a unique link for clients to view anything, anytime. Dubsado offers a white labeling feature, allowing all documents to be linked through your domain.
Every client I’ve worked with has complimented on how smooth my design process is for them. I’ve never received a signed contract or paid invoices so fast before!
Do you have Calendly or Acuity set up to take discovery calls or appointments? Dubsado offers it in your plan. This is how I set up discovery calls with all my clients, and it’s very similar to any other software. They’ll have the option to choose the day & time that works best for them according to your schedule.
Need any additional information from your clients? Now you can easily create personalized questionnaires or forms for them to fill out. I’m able to get all the information I need at once rather than looking back at hundreds of emails between the client and myself to find what I’m looking for.
I have design feedback forms for when a website is ready for review, and general feedback forms for clients to fill out after we’ve launched! I’ve received testimonials for every client since using Dubsado, but beforehand I had trouble getting them to send one.
You can send emails directly through the software, but it will always look as if you sent it from your email account. You can set canned responses to avoid rewriting the same message and send reminders for appointments or due invoices!
I’m also able to tell when someone views my emails, which gives me the ability to time out follow up emails and avoid people from telling me they haven’t received my invoice when they have 😉 I secretly love this feature.
Dubsado offers an accounting tab to track your cash flow & expenses. If you use Quickbooks or Wave, it’s super easy to integrate it as well.

If you’re paying around 10-15 dollars a month for separate softwares (scheduling/appointment software, contract signing software, task management, bookkeeping, time tracking) when you can have it all within one platform for one price? Totally worth it!
The customization is unreal with Dubsado. You can completely personalize your proposals, contracts, and invoices to fit your color scheme and branding. There is no indication that I’m using another business to send out anything. I love this because Dubsado is not making it about them or promoting themselves, they’re making it all about you & your business.
Another great tool is that they do not use an automated Dubsado mailer to send out emails of your contracts or invoices, as you connect your email to it! It makes it seem like you sent it directly from your own email account, not through an automatic mailer.
Every time I had an issue, I got almost immediate responses from their team through the live chatbox. They care so much about their clients, and they have one of the best customer service teams I’ve encountered. The Dubsado Team also created an amazing Facebook group community where you can connect with other users and get some questions answered!
They offer the best free trial I’ve ever experienced, as it’s not your typical 2-week trial. You get a free 3 client trial with no time limit! You can use it for three clients before committing, which gives you plenty of time to realize if it’s right for your business and play around with its features. I am more willing to pay for something that I have had time to play around with, without feeling rushed to purchase a plan!
